Records Requests
Common requests that can be made by clients around record requests are handled as follow: Coaches are not required by law to keep records of coaching sessions as we do not make any medical claims and do not prescribe or diagnose around any medical or mental health areas, therefore coaching records are based in email thread exchanges, phone calls and text logs. To retrieve, copy, print or forward such records of which notes if made will be made and sent to client via email after any session can be requested by KW Coaching to share with client with proper written release request from client, client’s attorney or therapist. In most cases email exchange can be retrieved if client was active with coaching within the last four-years from date of request. If text records are being requested not all records mat be available due to phone complications, updates, change of numbers, phone damage or loss, etc. Phone coaching sessions are not recorded and notes that pertain are shared with client in follow-up emails exchanges as stated here.
Request of records with postage included is a flat fee of $350 for records that do not exceed 50 printed pages. Additional pages are $1.00 per page printed. This covers time spent gathering documents and printing/mailing/milage.
Payment for all record requests must be made prior to printing.
Records can take up to 3-weeks to obtain, print and send from date of paid request.
Client Information Requests
These requests are often made by client, client attorney or therapist to obtain information about client’s state of being, needs, or reasons for coaching. These questionnaire requests may be made with proper information release request and signature from client and with the understanding that these requests will be generalized and not give full detail to clients’ needs for coaching as they are based off of KW Coaching’s email exchange with client including application process and will require research time of a minimum of one hour to research and answer depending on how long a client was in coaching services, the type of coaching program depth and how long ago the client was active.
Client information records and inquiries are at the hourly rate of $250 with a minimum of one hour to cover research time and filling out of forms requested.
Payment for all record requests must be made prior to printing.
Requests can take up to 7-10 business days from date of payment and request.
Court Action/Legal Fees
Clients are discouraged from having their coach subpoenaed…Even though you are responsible for the testimony fee, it does not mean that my testimony will be solely in your favor. I can only testify to the facts of the case and to my professional opinion. For those who fail to heed Renate Rene’ Schoolers, acting coach/owner of KW Coaching discouragement, the following fees are in effect:
- Preparation time (including submission of records): $250/hr
- Phone calls: $250/hr
- Depositions: $250/hour
- Time required in giving testimony: $350/hour
- Mileage: $0.59/mile
- Time away from office due to depositions or testimony: $250/hour
- All attorney fees and costs incurred by the therapist as a result of the legal action.
- Filing a document with the court: $150
- The minimum charge for a court appearance: $2500 plus above fee’s that apply
A retainer of $2500 is due in advance. If a subpoena or notice to meet attorney(s) is received without a minimum of 48-hour notice, there will be an additional $450 “express” charge. Also, if the case is reset with less than 72 business hours notice, then the client will be charged $500 (in addition to the retainer of $2500).
Finally, all fees are doubled if Renate Rene’ Schooler acting coach/owner for KW Coaching had scheduled plans to go out of town.
